The Delmar Public Library is a public institution whose facilities are available to the public on a equitable basis regardless of the beliefs or affiliations of the individuals or groups requesting their use. Library sponsored programs will receive first priority after which other applications will be considered on a first come first serve basis. The intent of this policy is to make the library's meeting room available for educational, cultural and informational community meetings and programs. The fact that the group is permitted to meet at the library does not in any way constitute an endorsement of the group's policies or beliefs. In the even a question is raised as to the objectives and activities of any organization, group or individual requesting the use of the meeting room, the Delmar Library Commission shall be the final authority in granting or refusing permission for the use of the room. | |

In publicizing a meeting to be held in the library meeting room, the sponsoring group, time and place must be clearly and definitely identified. | |

All announcements, press releases, flyers, etc. relating to meetings must clearly state that the meeting is not sponsored by the Delmar Public Library. | |

In order to serve as many groups as possible, the room may not be reserved more than three months in advance. The library reserves the right to cancel reservations. | |

Applications must be submitted by an adult who shall personally be responsible for the conduct of the meeting, adherence to regulations and payments of fees and damages incurred. | |

The library's address may not be used by an non-library related group. | |

Inquiries concerning meetings to be held in the Hayman Meeting Room will be referred to the contact person named on the application. | |

The library's telephone number may not be used by non-library related groups. | |

No incoming phone calls for members of any non-library related organization may be handled by library staff. Outgoing calls may not be made for any non-library organizations, unless an emergency. | |

The Hayman Meeting Room is available for $25.00 for three hours or part thereof. Ten dollars( $10.00) will be added for each additional hour or part thereof. Payment is non-refundable and is due when applying. Applications must be made on forms provided. Telephone reservations will be accepted; however, the contact person must come to the library at least ten (10) work days before the meeting date to fill out the appropriate forms. If the forms are not completed and returned to the library at least two(2) days prior to the meeting, the library reserves the right to decline the application. The library hours are: Monday, Tuesday, Thursday 12:00 P.M. - 8:00 P.M. Wednesday 9:00 A.M.- 8:00 P.M Friday 9:00 A.M. - 5:00 P.M. Saturday 9:00 A.M. - 3:00 P.M. The meeting room is available after hours but the key must be picked up during regular library hours and returned in the bookdrop immediately after the meeting. The meeting room is separate from the main library, and the heat/air will be preprogrammed. Children and teen meetings must be adequately supervised by adults (one adult for every ten children). Smoking and other uses of tobacco, and the use of alcoholic beverages and controlled dangerous substances are prohibited. Groups using the kitchenette facility must bring their own food, drinks, utensils and paper products. The kitchenette must be cleaned up when the meeting is over. No furniture or equipment may be brought to the meeting room without prior approval of the director. Nothing may be attached to the walls. No lighted candles may be used. If library equipment is needed, please reserve the item(s) at the same time as applying for the meeting room. Private property to be used, demonstrated, exhibited, or merely brought into the library will be the owner's responsibility. The library will not assume responsibility for private property used on library premises. The number of people attending must be reported to the library for statistical purposes. A form will be provided for you. In compliance with the fire marshal regulations, attendance shall not exceed a maximum number of fifty (50) people. Please make sure the Hayman Meeting Room and the kitchenette facility are cleaned after the meeting. A cleaning fee will be charged if the facilities are not left appropriately.
